herTRAINER is a website and mobile app built for female athletes ages 11 to 18. We take privacy seriously, especially because most of our users are minors. This policy explains what we collect, what we don't, how we use it, and the rights you have to control your data. It covers both our website at hertrainer.app and the herTRAINER mobile app.
If you are a parent or guardian, this policy also explains how your child's data is handled.

Quick summary

On our website, we collect the email address you give us to join the early-access list. That's it.

In the app, we collect only what we need to run it: your account info, what you do in the app, and your device's timezone.

1. Who we are
herTRAINER is operated by herTRAINER (herTrainer LLC), based in the United States.
Our website is hertrainer.app. For all privacy questions, contact privacy@hertrainer.app.
2. Information we collect
2.1 Website (hertrainer.app)
When you sign up for early access on our website, we collect:

Your email address
We use it only to send you launch updates and an invitation when the app is ready. Every email we send includes an unsubscribe link. Our website is built and hosted on Wix, which processes this signup on our behalf and may set cookies as described in Section 10.
2.2 Account information you provide (app)
When you create an account in the app, you give us:

Your first name

Your age (used to determine if you need a parent-managed account)

Your sport (basketball, volleyball, soccer, track, softball, or similar)

A password (stored encrypted, never visible to us in readable form)
If a parent creates an account for a child under 13, the parent provides:

The child's first name and age

The parent's email address (for account recovery and consent records)

The parent's name
2.3 What you do in the app
To make the app work as intended, we record:

Which challenges you enroll in and your progress through them (which days completed, which tasks checked)

Recipes you favorite

Articles you read

Messages you send to your AI coach (Avery or Jordan)

Your push notification preferences (which reminders you want, what time)
2.4 Device information (app)
We capture:

Your device's timezone (so we can send reminders at the right local time)

Your device's push notification token (so we can send you reminders)

Basic technical information like app version and operating system version (for support and debugging)
2.5 Information we do NOT collect
To be explicit about what we don't do:

We do not access your contacts.

We do not access your photo library beyond a photo you explicitly choose for your profile picture.

We do not access your location.
-
We do not access your camera except when you choose to take a profile picture.

We do not track you across other apps or websites.

We do not collect health data from Apple Health or Google Fit.

We do not collect device identifiers used for advertising (like IDFA).

We do not collect biometric information.

We do not sell or rent your information to anyone, ever, for any reason.
3. How we use your information
We use the information we collect only to:

Run the service: show you the right content, save your progress, send reminders you signed up for, and send early-access updates to people who joined our list.

Power your AI coach: your name, sport, age, and message history are shared with our AI provider so the coach can give you relevant responses.

Improve the product: we look at aggregated, anonymous usage patterns (how many users complete Day 5 of a challenge, for example) to make the product better.

Communicate with you: account recovery emails, important policy updates, and the notifications you have explicitly enabled.

Comply with the law: if we are legally required to disclose information (a valid court order, for example), we will. We will tell you if this happens unless legally prohibited.
We do NOT use your information for advertising, profiling for commercial purposes, or any use you have not consented to.
4. AI coach (Avery and Jordan)
herTRAINER includes two AI coaches you can talk to: Avery and Jordan. Here's how they work and what you should know:

Your messages to the coach are processed by an AI model from OpenAI, a third-party service provider.

We send the AI model your message, your name, age, sport, and recent app activity so the coach can respond in context.

We do not send your email, password, full identity, or any data not relevant to the conversation.

OpenAI processes your message and returns a response. Under our agreement with OpenAI, they do not use your messages to train their models.

Your conversation history is stored in our database so the coach can remember context across messages.

The coach is an AI, not a human, not a doctor, not a licensed nutritionist, not a certified trainer. See our Terms of Service for the medical and fitness disclaimer.
5. Children's privacy (users under 13)
herTRAINER is designed for athletes 11 to 18 years old. For users under 13, we comply with the Children's Online Privacy Protection Act (COPPA).
5.1 Parent-managed accounts
If a user is under 13, the account must be created and managed by a parent or guardian. During signup:

The parent provides their own email and name.
-
The parent provides their child's first name and age.
-
The parent provides verifiable consent for the child to use the app.
-
The parent has full visibility into and control over the child's account.
5.2 What we do not do for users under 13

We do not collect any data beyond what is listed in Section 2.

We do not present advertising of any kind.
-
We do not enable any messaging or community features that allow contact with other users.

We do not share the child's data with third parties for marketing.
5.3 Parental rights
Parents of users under 13 have the right to:

See exactly what data we have stored about their child.
-
Edit any of that data (the child's name, age, sport, profile picture).
-
Delete their child's account and all associated data at any time.
-
Withdraw consent at any time, which deletes the account.
To exercise these rights, the parent can use the in-app Profile tab or email privacy@hertrainer.app with the child's account email and the request.
6. Who we share data with (and why)
We share limited data with a small number of trusted service providers who help us run the service. These providers are bound by contracts that require them to handle your data securely and only for the purposes we direct.

We do NOT share data with advertisers, data brokers, social networks, or any party not listed above.
If we ever need to add a new service provider, this policy will be updated and existing users will be notified.
7. Where your data is stored and how long we keep it
Your data is stored in the United States on secure cloud infrastructure.
We keep your account data for as long as your account exists. When you delete your account (Profile, Account, Delete Account), we permanently remove your data within seconds. There is no grace period and no soft delete.
If you joined the website early-access list, we keep your email until you unsubscribe or ask us to remove it, after which we delete it promptly.
Anonymous, aggregated analytics events may be retained longer for product improvement, but these contain no personal identifiers tied back to you.
8. Your rights and how to use them
You have the right to:

See what we have about you. In the app, open the Profile tab; everything we store is editable there or visible through the in-app surface. For the website list, email us.

Edit your information. Profile, Edit Profile lets you change your name, age, sport, and profile picture at any time.

Delete your account. Profile, Account, Delete Account permanently removes everything within seconds.

Unsubscribe from emails. Use the unsubscribe link in any email, or email us.

Withdraw consent. Deleting your account withdraws all consent. You can also disable specific features (push notifications, coach memory) in Profile settings.

Export your data (EU/EEA users). Email privacy@hertrainer.app with your account email and we will send a machine-readable copy of your data within 30 days.
For users outside the United States: depending on your country, you may have additional rights under local privacy law (GDPR, UK GDPR, PIPEDA, others). Contact privacy@hertrainer.app to exercise any of these rights.
9. Security
We protect your data with:

Encryption in transit (every connection uses HTTPS/TLS)

Encryption at rest (database and backups encrypted by our infrastructure provider)

Passwords stored as one-way hashes (we cannot see your actual password, even on the engineering side)

Limited access (only people who genuinely need to see data to operate the service can do so)

Regular security reviews
No system is 100% secure. If we ever discover a breach that affects your data, we will notify affected users within 72 hours and provide guidance on what to do.
10. Cookies and similar technologies
Our website (hertrainer.app) is built on Wix, which sets cookies that are necessary for the site to function and to understand basic, aggregate site traffic. You can control cookies through your browser settings.
The herTRAINER mobile app does not use advertising cookies. The app uses local device storage (AsyncStorage on mobile, localStorage on web) to keep you signed in and remember your preferences between sessions. This storage stays on your device and is not shared with anyone.
11. International users
herTRAINER is operated from the United States. If you use the service from outside the U.S., your data will be transferred to and processed in the U.S. By using the service, you consent to this transfer.
For EU/EEA users, we rely on Standard Contractual Clauses for any data transfers.
12. Changes to this policy
We may update this policy as the product evolves or as the law requires. When we make a meaningful change:

We will update the "Last updated" date at the top.

We will notify existing users via email and an in-app message before the change takes effect.

For changes that materially expand what we collect or how we use data, we will ask for renewed consent.
Older versions of this policy are available on request.
